What happens when you pay your child’s school fees through Palmgrade

This page explains what you are agreeing to when you pay school fees using the payment link your child’s school sent you. It is short on purpose. If anything here is unclear, please ask your school before you pay.
Your fees are for your child’s school. Cevatronic Systems Limited, which operates Palmgrade, provides the software your school uses to bill and collect them, and processes the payment on the school’s behalf. Your money is passed on to your school’s own bank account. We are not your child’s school, we do not set the fees, and we are not responsible for the education, services or goods your fees pay for. Any question about what you have been charged, or about your child’s place at the school, is a question for the school.
On your bank statement this shows as Cevatronic — the company that processes payments for your school, and it may appear shortened. It will not show your school’s own name. Please make a note of this before you pay. If you do not recognise the entry later and report it to your bank as fraud, your school does not receive the money and may treat the fees as unpaid — so a moment now saves a difficult conversation later. Your payment receipt, which is emailed to you immediately, will also name Cevatronic Systems Limited.
Your card details are entered on a secure page operated by our payment provider, Paystack. Neither your school nor Palmgrade ever sees or stores your card number. We record only that a payment was made, for how much, and which bill it settled.
When you pay we record your email address, the amount you were shown before paying, the amount charged, the time, and the bill the payment settled. Your school can see this, because it is the record of your child’s fees. We keep it as part of the school’s financial records and to resolve any dispute about the payment. We do not use your email to market anything to you, and we do not sell or share it with anyone other than your school and our payment provider.

Refunds are your school’s decision, not ours — the money is theirs and only they know whether it is owed back. If you believe you are due a refund, contact your school first. Where a school instructs a refund, we process it back to the card you paid with, and it may take several working days to appear.
If money leaves your account and your school does not show the payment, contact your school — the record usually catches up within a few minutes, and they can see the attempt from their side. If it is still unresolved, email us at support@palmgrade.com with the date, the amount and the reference from your receipt, and we will trace it. Please do this before reporting the payment to your bank as fraud: a dispute raised against a payment your school actually received takes weeks to unwind and can leave the fees showing as unpaid in the meantime.
Paying online is a convenience, not a requirement. Your school’s bank details are shown on the same page as the payment button, and you may pay by transfer or at the school office instead. Card payments also have a minimum amount, which is shown to you before you pay; below that, please use a transfer.
